KEY DUTIES AND RESPONSIBILITIES

Secretarial Duties:

• Coordinated and supervised daily operations in collaboration with the Operations team, ensuring seamless communication and operational efficiency.
• Handled administrative tasks, including answering calls, managing correspondence, and preparing detailed reports for management review.
• Scheduled and organized meetings, updated management calendars, and maintained accurate records through comprehensive meeting minutes.
• Led the evaluation, training, and career development planning for the secretarial team, cultivating a culture of continuous improvement and professionalism.

Admin Responsibilities:

• Oversaw visitor registration and trip arrangements by verifying HR Admin’s work on visas, work permits, and service contracts under TTI.
• Supervised the guest control process, including accommodation, transportation, and scheduling for visitors, ensuring smooth and professional experiences.
• Directed overseas trip arrangements for VN teams, coordinating visas, hotel bookings, transportation, and providing translation services as needed.
• Delivered comprehensive support to expatriates, including housing arrangements, transportation, event coordination, and translation, fostering a comfortable and efficient work environment.
• Managed factory rental contracts by ensuring timely monthly payments and overseeing relocation preparations to AES site.
• Maintained operational standards through the development and monitoring of SOPs, including visitor control systems, lobby and office management, security protocols, and cleaning services.

Employee Relations and Learning and Development Initiatives:

• Controlled and monitored budgets for FMGT entertainment, gift expenses, and training initiatives, ensuring cost-effective solutions without compromising quality.
• Coordinated gift distribution for employees, expatriate colleagues, suppliers, and government officials, strengthening relationships and goodwill.
• Organized training events, workshops, and annual events for the management team and staff, enhancing skills and fostering a collaborative work culture.
• Managed locker systems and implemented efficient processes for handling canteen payments using employee cards.
• Designed and executed training programs tailored for IDL employees, promoting professional growth and aligning skills with organizational goals.

REQUIREMENTS

Bachelor’s degree

Major in Linguistics, English, Chinese or other related subjects.

Minimum 5 years in similar positions

Be able to comfortably use both English and Chinese

English: Fluently in Verbal communication + Written

Chinese: Intermediate in Verbal communication + Reading + Written

Proficiency in MS Office (MS Excel, MS Word and MS PowerPoint, Outlook)

Excellent time management skill and have ability to prioritize work

Strong organizational skills especially multi-tasking

Attention to details and problem-solving skills

Helpful and friendly demeanor

Proactive engagement with teams.

Ability to stay calm under pressure

Working in Cu Chi area (Tan Phu Trung Industrial Park)
